Privacy Policy

This Privacy Policy explains how CoreScopeAI ("we", "us") handles information when you use the CoreScopeAI knowledge assistant (the "Service"). The Service is provided for authorised members of your organisation only.

Information we process

• Account information. Your name, work email, and clearance level, used to authenticate you and to decide which documents you may access.
• Documents. Files uploaded to the archive by authorised users, together with the text extracted from them, their summaries, and search indexes derived from them.
• Conversations. The questions you ask and the answers returned, stored so you can revisit them and so follow-up questions work.
• Operational logs. Security and audit events (sign-ins, access decisions, uploads) used to keep the Service secure and accountable.

How we use it

We use this information only to operate the Service: to authenticate you, to answer your questions against documents you are permitted to see, to cite the sources of those answers, and to maintain security and audit records. We do not sell your information, and we do not use your documents or conversations to train third-party models.

Access and clearance

Access is governed by clearance. The Service enforces, on the server, that you only ever retrieve documents at or below your clearance level. Content, titles, and file names of documents above your clearance are never shown to you.

Third-party processors

The Service relies on a small number of processors to function, including a cloud database for storage and an AI model provider to generate answers. Processors act on our instructions and are bound to protect your information.

Retention

Documents remain until removed or replaced by an authorised user. Conversations are retained while your account is active. Audit logs are kept for as long as needed for security and compliance.

Your choices

Because the Service is provided through your organisation, requests to access, correct, or delete information are handled by your organisation's administrators. Contact them, or your CoreScopeAI administrator, for any request.
